Acceptable Use Policy

Introduction

This Acceptable Use Policy (“Policy”) sets out the rules governing your use of the AuditEvidenceAI platform. This Policy forms part of the Terms and Conditions. Breach of this Policy may result in suspension or termination of your access.

1. Permitted Use

The Platform is provided for lawful business use in connection with AI governance, audit documentation, and compliance activities. Permitted uses include:

• Registering and documenting AI systems
• Building structured evidence packs for regulatory or audit purposes
• Attaching and managing compliance-related documentation
• Exporting evidence pack PDFs
• Managing team access on compliance documentation

2. Prohibited Use

You must not use the Platform to:

• Store, transmit, or process unlawful, fraudulent, defamatory, or harmful content
• Upload content that infringes third-party intellectual property rights
• Introduce malware, viruses, or harmful code
• Attempt to gain unauthorised access to the Platform or other users' accounts
• Use automated scripts to scrape or harvest data without prior written consent
• Circumvent or disable security features
• Process sensitive personal data without a lawful basis and appropriate safeguards
• Reverse engineer or decompile the Platform's source code
• Misrepresent your identity

3. Data Responsibility

You are solely responsible for the accuracy, completeness, and lawfulness of all content you upload. You must:

• Ensure all data is accurate and not misleading
• Obtain all necessary consents before processing personal data of third parties
• Not upload confidential third-party information without authorisation
• Comply with all applicable data protection laws including UK GDPR

We accept no liability for any consequences arising from inaccurate, incomplete, or unlawfully processed data.

4. Security and Misuse

You are responsible for maintaining the security of your account credentials. You must:

• Use a strong unique password
• Not share login credentials outside your authorised team
• Notify us immediately at hello@auditevidence.ai of any suspected unauthorised access or security incident
• Not attempt to access, modify, or delete other users' data

5. Enforcement

We may take action if you breach this Policy including:

• Issuing a warning
• Temporarily suspending your access
• Permanently terminating your account
• Removing or restricting specific content
• Reporting conduct to relevant law enforcement or regulatory authorities

We will aim to notify you of any action taken where safe and appropriate to do so. In serious cases we may act without prior notice.
